Who we are

GROWTHROOM is a trade name of Greenspace Plants Inc., a British Columbia company. In this policy, "GROWTHROOM", "we" and "us" mean Greenspace Plants Inc. operating as GROWTHROOM.

This policy explains how we collect, use, share, store and dispose of personal information through growthroom.ca and our advisory work. It follows British Columbia's Personal Information Protection Act (PIPA).

What we collect

We only collect what we need to talk with you and do the work you hire us for.

  • When you book a call or contact us: your name, email, phone number, business name and anything you choose to tell us.

  • When you become a client: business and financial information you share with us, such as financial statements, contracts, staff and customer information, and notes from our meetings.

  • When you visit the website: basic technical information, such as your browser, device, pages visited and approximate location, collected by our website platform.

The Value Calculator and the Owner-Away Test run in your browser. We don't store or receive your answers. If you use "Email me these results", the email is sent from your own email account; we only receive it if you send it to us.

How we use it

We use your information to:

  • reply to you and schedule calls

  • deliver our Readiness Review and value-build work

  • send invoices and keep the business records the law requires

  • understand how the website is used, so we can improve it

We don't sell your personal information or use it for anything unrelated to these purposes.

Consent. By contacting us or engaging us, you consent to these uses. We ask for your consent again before using your information for a new purpose. You can withdraw consent at any time by contacting our Privacy Officer, unless we must keep the information by law or under a contract. If you withdraw consent, we may not be able to keep working with you.

Who we share it with

We share personal information only when it is needed to do our work:

  • Service providers that run our website, booking, email, file storage and accounting, such as Squarespace, [YOUR EMAIL PROVIDER] and [YOUR ACCOUNTING SOFTWARE]. They may only use it to provide their service to us.

  • Specialists in our network who work on your engagement, such as finance or technology specialists. They are bound by confidentiality.

  • Your other advisors, such as your broker, accountant or lawyer, only with your consent.

  • Others where the law requires or allows it.

We stay responsible for information we share with service providers and specialists.

Storage outside Canada. Some of our service providers store data outside Canada, mainly in the United States. That information may be subject to the laws of those countries.

Cookies and analytics

Our website platform, Squarespace, uses cookies to run the site and to give us visit statistics, such as page views and traffic sources. We use these statistics in summary form and don't use them to identify you. You can block or delete cookies in your browser settings; the site will still work, though some features may not.

How we protect and keep it

We protect personal information with password-protected accounts, two-step sign-in where available, and access limited to the people working on your engagement. Client files are kept in secure cloud storage, not on shared or personal devices.

We keep personal information only as long as we need it for the purpose it was collected, or as long as the law requires. Business and tax records are kept for at least six years, as the Canada Revenue Agency requires. Enquiries that don't lead to an engagement are deleted within [24] months. When information is no longer needed, we delete or destroy it securely.

Your rights

You can ask us, in writing, to:

  • show you the personal information we hold about you and how we have used it

  • correct information that is wrong or incomplete

  • stop using your information, where the law allows

Send your request to our Privacy Officer. We may ask for details to confirm who you are. We respond within 30 business days. If we need longer, we'll tell you why and when to expect a reply, as PIPA allows. If we can't give you some or all of the information, we'll explain why.

Questions and complaints

Our Privacy Officer is responsible for this policy and for answering questions, requests and complaints:

We'll look into every complaint and reply in writing. If you're not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia.
